SUMMARY: This job is responsible for providing a variety of accounting a n d secretarial support for the Nutrition Services department, assigned administrator, and customers; reconciling receipts; preparing complex and detailed financial reports; establishing and maintaining department records; coordinating assigned projects; and compiling and distributing a wide variety of material and reports.

- Processes a variety of documents and materials (e.g. lunch/breakfast counts, billings, orders, mail, checks, collections, menus, purchase orders, invoices, etc.) for the purpose of disseminating information in compliance with program, district, state and/or federal requirements.

- Maintains a wide variety of documents, files, and records (e.g. fiscal payments, daily income from lunches and other sources, reports, time sheets, contracts, etc.) for the purpose of documenting activities, providing up-to-date reference and audit trail.

- Prepares a wide variety of reports and written materials (e.g. correspondence, notices, reports, statements, letters, memorandums, tables, charts, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.

- Maintains financial reporting and reconciling of funds, profit & loss reports, and budgets. This includes creating financial reports, both monthly and on an as needed basis. Answers questions from staff and parents. Assists with software systems maintenance and troubleshooting. Places purchase requests. Monitors/reconciles inventory system and payments for inventory items.

- Compiles data from a variety of sources (e.g. work orders, budget reports, specialized reports, personnel records, etc.) for the purpose of complying with financial, legal, and/or administrative requirements.

- Reconciles account balances (e.g. bank statements, cash and grant receipts, visa purchases, etc.) for the purpose of maintaining account balances and complying with related policies, practices and/or regulations.

- Utilizes District, State and Nutrition Services software and system databases for the purpose of reporting information and monitoring budget data.

- Responds to inquiries from a wide variety of internal and external parties (e.g. district staff, other schools, state, and federal agencies, etc.) for the purpose of providing information, facilitating communication among parties, and/or providing direction.

- Oversees the collection of data, invoices, etc. for the purpose of various vendor rebate, promotion, and reward programs.

EDUCATION AND RELATED WORK EXPERIENCE:
High school diploma, or equivalent, required
1-3 years’ experience preferred, but not required
LICENSES, REGISTRATIONS or CERTIFICATIONS:
Criminal background check required for hire.

MATERIALS AND EQUIPMENT OPERATING KNOWLEDGE:
Operating knowledge of and experience with personal computers and peripherals
Operating knowledge of and experience with typical office equipment, such as telephones, copier, fax machine, etc.
Operating knowledge of and experience with office productivity programs, such as Microsoft Office Suite, E-mail, etc.
Operating knowledge of district information technology systems and department-specific software and equipment required within 3 months after entering position

BUDGET AND/OR RESOURCE RESPONSIBILITY:
Makes recommendations that effect the allocation of resources; tracks and audits budget once it has been adopted, participates in data collection and organization of budget materials; may initiate requisitions.
